DealToaster sends every email from a mailbox you connect, so replies arrive where you already work. This page shows how to connect one, set how much it sends and when, and keep it healthy.

Choose how to connect

Open Mailboxes. With no mailbox yet the page shows the choices as buttons. Once you have one, the Connect mailbox menu in the page header offers them.

Connect with Google or Microsoft

1

Start the connection

Select Connect with Google or Connect with Microsoft. The provider’s consent screen opens.
2

Allow the permissions

Keep every permission on the consent screen. The connection must be finished within 10 minutes, in the same browser where you started it.
3

Land on the mailbox page

When it works, DealToaster opens the mailbox page. Connecting an address that is already connected reconnects it instead of adding a second copy.
If the connection fails, the Mailboxes page shows why:

Connect with SMTP and IMAP

1

Pick a preset

Select Connect with SMTP. The presets are Gmail app password, Zoho Mail, Fastmail and Custom; the first three fill in the server and show a hint for that provider; Custom fills in nothing, so you enter the server yourself.
2

Fill in the sending server

Enter the Email address, Display name, Server, Port, Security, User name and Password of your outgoing server.
3

Add IMAP settings to detect replies

Tick Add IMAP settings and fill in the IMAP server, IMAP port, IMAP security and either tick Use the SMTP user name and password or enter a separate IMAP user name and IMAP password. Without IMAP, DealToaster cannot see replies, so follow-ups do not stop when a contact answers.
4

Connect

Select Connect. DealToaster tests the connection. If the test fails for a new address, the mailbox is still saved with a warning (“Mailbox saved, but the connection test failed.”), and it sends nothing until you fix the settings with Edit SMTP settings.
You can add or change the IMAP settings later with Add IMAP settings or Edit IMAP settings on the mailbox page. Reply detection starts from that moment.

Detect replies on a Gmail mailbox

A Gmail mailbox connected with Connect with Google sends your emails but cannot see replies. It shows the warning No reply detection: follow-ups will not stop on replies. with Add app password. An app password lets DealToaster read replies while Google keeps sending the emails.
1

Create an app password

Turn on 2-Step Verification in your Google account, then select Create an app password on the app password page and create one for DealToaster. Your normal Google password does not work here.
2

Paste and test it

Paste it into App password and select Test and save. DealToaster tests the password before it saves it. It opens the inbox read-only and reads the headers of new messages to find replies, plus the start of the text of a reply and of a message that may be a bounce; nothing is marked as read. If Google refuses it, the page says “Google refused the app password.”
If the mailbox has already sent emails, DealToaster reads back the last 7 days of replies. Earlier replies are not seen, so check older ones by hand. In the list on Mailboxes, each mailbox card shows Reply detection as On, Off or Failing; the mailbox page explains how replies are read. Change app password replaces the password, and Remove (after Remove the app password?) stops reply detection without affecting how Google sends your emails. If Google revokes the password, for example after you change your Google password, the mailbox shows Enter a new app password.

Set limits and the sending window

Open a mailbox to change its settings, then save them. The mailbox page also shows Sent today against the daily limit. A sequence has its own window and working days; an email goes out only where the two windows overlap.

Check your domain

For mailboxes on your own domain, the mailbox page shows Domain authentication, and the mailbox card shows a badge: a badge that reads Domain authenticated, Domain warnings, Domain not authenticated or Domain check incomplete. It looks at the MX, SPF, DKIM and DMARC records that tell receivers mail from your address is really yours. Warnings never stop sending. After you change a DNS record, it can take a while before every resolver sees it. For consumer domains such as gmail.com the page says there is nothing to set up, and the card has no badge.

Pause and resume a mailbox

Select Pause on the mailbox page to stop sending from it. The page shows Sending is paused. Scheduled sends wait, and go out within the limits after you select Resume sending.

Fix an authorization error

When a provider refuses the mailbox’s sign-in, the mailbox shows Reconnect needed, DealToaster sends you a notification, and sends are on hold. Scheduled sends stay scheduled and go out after you fix it:
  • A Google or Microsoft mailbox: open the More actions menu and select Reconnect with Google or Reconnect with Microsoft.
  • An SMTP mailbox: open the More actions menu and select Edit SMTP settings, and update the password or server. If the IMAP sign-in failed, Update the IMAP settings opens the IMAP form.
  • A Gmail mailbox whose app password stopped working: select Enter a new app password.
The banner on the mailbox page has the matching button: Reconnect, Update the password, Update the IMAP settings or Enter a new app password. Use Test connection on the mailbox page to check it.

Disconnect a mailbox

Open the More actions menu of the mailbox page, select Disconnect and confirm with Disconnect mailbox. Nothing is sent from the mailbox any more and its stored sign-in is deleted. DealToaster refuses while an active or paused sequence uses the mailbox (“A sequence uses this mailbox.”): archive or delete those sequences first.
