Contacts are the people your sequences email. This page shows how to find them, add and edit them, what each status means and what deleting a contact does. To bring in a whole list, see Import contacts from a CSV file.

The Contacts page

Open Contacts. The tabs filter the list by what happened to each contact: All, Active, Replied, Unsubscribed, Bounced and Do not contact. Each tab shows how many contacts it holds for your current search and filters.
  • Search by name, email or company in the search box (“Search by name, email or company”).
  • The Sequence filter finds contacts who are in a sequence now, who are not in one, who need attention, or who are in one sequence you choose.
  • The Source filter finds contacts added by hand, contacts from a CSV import, or, after you select View imported contacts at the end of an import, the contacts of that import.
  • Sort by Date added, Name or Company, and show 25, 50 or 100 contacts per page.
The list shows Name, Company, Status, Sequence, Last activity and Added. You can hide columns from the Columns menu. Select a row to open the contact in a side panel; select Open full page in the panel, or Open in the row’s menu, to go to the contact page.

Add a contact

Select Add contact. Only the email address is required. You can also fill in First name, Last name, Company, Job title, Phone, LinkedIn URL, Website, City and Country, and add custom fields of your own as name and value pairs. A custom field name uses lower-case letters, digits and _, starts with a letter and has at most 40 characters; a contact can have at most 50 custom fields. Custom fields are available in sequences as {{custom.name}}. Select Add contact to save. If the address is already one of your contacts, the form says “This address is already one of your contacts.”

Edit a contact

Open the contact and select Edit, change the fields and select Save contact. Changes apply to future emails.

What the statuses mean

A contact page shows a banner for any status other than Active. To email the contact again, use Reactivate. DealToaster always asks you to confirm. For an unsubscribed or bounced contact the question explains the risk (an unsubscribed person asked not to be emailed, and emailing a bounced address again hurts your sender reputation) and the button reads Reactivate anyway.

Act on several contacts

Tick contacts in the list to open the action bar, or, once you have ticked the whole page, choose Select all N matching to apply an action to every contact that matches your search and filters. The bar offers:
  • Add to sequence (only for the contacts you ticked, not for everything that matches)
  • Export CSV
  • Unsubscribe
  • Do not contact
  • Reactivate
  • Delete
Each destructive action asks for confirmation and says how many contacts it applies to.

Export contacts

Export CSV downloads a UTF-8 file named contacts- followed by the date. It has the email, the standard fields, one column for each custom field, then the status, the date of the last reply and the date added. Values that start with =, +, -, @, a tab or a carriage return get a leading apostrophe so a spreadsheet never runs them as a formula. You can import the file again; DealToaster removes that apostrophe on import.

The contact page

The contact page shows a summary (Sequences, Emails sent, Replies, Last emailed and Added), the sequences the contact is in, and Activity, which you can filter by All, Emails, Replies and Status changes. A banner at the top picks the most important thing to know: the contact bounced, unsubscribed or is marked do not contact; an enrollment needs attention; or the contact replied.

Delete contacts and suppressions

Delete removes the contact together with its messages and timeline, and it cannot be undone. The confirmation says so: “Their messages and timeline are deleted too. This cannot be undone.” If you delete a contact who was unsubscribed, bounced or marked do not contact, DealToaster still remembers that the address must not be emailed, without keeping the contact’s details. Adding that address again shows “This address was unsubscribed, bounced or marked do not contact.” with Add anyway, and a CSV import skips it and counts it as Suppressed.
